Calendar sync (Google & iCal)

Block availability based on your existing calendar and push Kowbi bookings to Google Calendar.

Two-way calendar sync is on Pro and Business plans. It does two things:

  1. Pulls in events from your external calendar so customers can't book over them
  2. Pushes new Kowbi bookings into your external calendar so you see them next to your other appointments

Google Calendar (two-way sync)

Admin → Settings → Calendar → Connect Google Calendar.

  1. Sign in with the Google account that owns the calendar you want to sync
  2. Choose which calendar Kowbi reads from (often a dedicated "Studio" calendar)
  3. Choose whether to push Kowbi bookings into that calendar or a different one

Changes sync within 1–2 minutes both directions.

iCal feed (read-only)

If you use Apple Calendar, Outlook, or any other tool that publishes iCal feeds:

  1. Get the iCal URL from your calendar app (it's a webcal:// or https:// link)
  2. Admin → Settings → Calendar → Add iCal Feed
  3. Paste the URL

Kowbi will check for new events every 15 minutes and block those times in your booking page.

iCal is read-only. New Kowbi bookings won't appear in your iCal calendar. Use Google sync if you need two-way.

Per-room calendars

You can connect a different external calendar per room — useful if you rent out separate spaces with separate calendars. Rooms → [room] → Calendar Sync.

Disconnecting

Admin → Settings → Calendar → Disconnect. Existing Kowbi bookings stay; the sync just stops. Re-connecting later picks up where it left off.

Troubleshooting

"Sync paused" error — Google revoked the token (usually because you changed your password). Click Reconnect.

Times look off by a few hours — your studio timezone and Google Calendar timezone don't match. Fix the studio timezone in Admin → Settings.

External events not blocking bookings — by default, Kowbi only blocks events marked as "Busy" in Google Calendar. Tentative or transparent events are ignored.
